Sheffield DocFset is recruiting for someone to join their team as Queer Realities Director’s Lab Coordinator on a part-time, fixed-term basis.

About the role

The Queer Realities Director’s Lab Coordinator is responsible for supporting the Industry team to deliver a six months development lab which will include industry-facing activities such as masterclasses and screenings as well as a residential week-long workshop. They will be a direct point of contact for the selected cohort and will connect with a range of UK and international Industry experts, arrange the logistics, coordinate with venues, ensure both digital and print information is correct and up to date as well as contribute directly to the delivery of the sessions.

  • Contract ends 31 March 2025.

Contract: Part-time, fixed-term – 49 days in total

Key responsibilities

Working with the Head of Industry and Marketplace & Talent Programmes Producer, the Queer Realities Director’s Lab Coordinator will be responsible for:

Workshop coordination

  • With the Head of Industry and Marketplace & Talent Programme Producer,
    coordinate the schedule for Queer Realties Director’s Lab workshops and
    activities
  • Communicate with successful participants including schedule information and
    answering questions
  • Coordinate with speakers, mentors, and other industry experts contributing to the
    scheme
  • Create and provide instructions on meeting system to all participants for the
    mentorship period online and/or in person
  • Input into the mentor matchmaking
  • As directed, coordinate and produce materials for Queer Realties Director’s Lab
  • Coordinate travel bookings for participants, speakers and team members for
    workshops and activities
  • Organise venue bookings for workshops
  • Update the Industry section of the Festival website when required

Delivery

  • Assist with the production of the workshops and
  • Represent Sheffield DocFest at the in-person workshops. Coordinating the
    schedule, the activities and speakers.

Administration and finance

  • With the Finance team, adhere to financial processes
  • Ensure all financial paperwork is present and clearly filed, and ensure receipts,
    invoices and refunds from suppliers are accurate
  • Deal directly with suppliers to ensure the correct paperwork is received
  • Ensure final questions are dealt with in a timely manner and handover is
    complete

Additional

  • Answer phones and direct enquiries to the relevant team
  • Respond to internal and external queries via email and on Google Chat
  • Oversee tasks allocated to Festival Assistants within your team
  • Actively promote and support diversity and inclusion in all Sheffield DocFests activities
  • Adhere to Sheffield Doc Fest health & safety policy
  • Adhere to and actively participate in how Sheffield DocFest delivers on our commitment to the environmental policy
  • Ensure all data stored is GDPR-compliant
  • Be an ambassador for Sheffield DocFest and maintain a professional approach at all times
  • Create and maintain good working relationships with all Sheffield DocFest colleagues
