Genesis Cinema is looking for a Personal Assistant to the Directors to join their team.

Key details

Hours: 30-40 hrs a week, 10:00am – 4:00pm/6:00pm (some flexibility)
Based: at Genesis Cinema in 93-95 Mile End Road, Whitechapel, London, E1 4UJ.
Start date: August including a week’s handover with the current PA.

Role requirements

Preferred

  • Accounts admin experience (Xero)

Essential

  • Previous experience in a role as a Personal Assistant (two years + experience)
  • Apple iWork Suite & Microsoft Office 365 proficient
  • Mac proficient
  • Discretion and competence in handling sensitive information
  • Strong organisational skills
  • Problem-solving approach
  • Good interpersonal skills
  • Multi-tasker
  • Able to work well independently
  • Effective communicator on the phone, in writing and in person
  • Ability to work to deadlines

Duties

Keeping track of three inboxes including: responding to invitations to meetings and events. Thorough diary management, ensuring that all events are recorded with the most recent information, including planned travel routes, taxi reservations, relevant dress codes, and reminders. Reminding the directors about insurance, membership renewals, business and personal anniversaries, and daily briefings to the directors.

General office administrative tasks, meeting minutes, helping the accounts manager when needed, and representing the directors in client communications. Using iWork suite and Office 365other programs such as: Xero, ScanSnap, and Remote Desktop on a daily basis.

Managing the director’s personal and business insurances, tickets, visas, itineraries, dining, travel, and film festival events.
