The London Indian Film Festival (LIFF) is seeking a highly organised and enthusiastic Film Festival Producer to join their team and play a pivotal role in the successful delivery of the 2024 festival, mainly in London and liaising with team in Manchester, Birmingham and Yorkshire.
Key responsibilities
- Collaborate with the Executive Director to develop a comprehensive scheduling plan for the 2024 festival and monitor its execution.
- Partner with the Executive Director to initiate discussions and build relationships with existing and new venue partners across various cities, including those involved with film and industry events. Liaise with these partners throughout the festival lifecycle, from initial contact to post-festival evaluation.
- Convene and participate in regular core festival team meetings, with a frequency that ramps up as the festival approaches.
- Work closely with the Executive Director and Steering Group Team to manage and organise the festival’s Industry events, including the Guru Lounge events and online programs. This may involve collaborating with external partners for development purposes.
- Secure screening permissions and certifications from all relevant London Councils well in advance of the festival ticket launch.
- Oversee the content input and coordination process for the festival brochure and other promotional materials, in collaboration with the chosen design company and the Marketing Manager. This encompasses the main brochure, and all other print and online content.
- Provide line management for the Production Manager and Outreach Manager, ensuring the seamless delivery of screenings and events (both physical and online) across all festival venues.
- Manage the festival’s Audience Award processes, working alongside the Sponsor Manager.
- Design and implement the festival’s evaluation processes, including a detailed post-festival analysis to be completed by 2 August.
- Co-chair team meetings during the crucial logistical planning phase (from late May to July) and lead meetings in other ad-hoc situations when authorised by the Executive Director.
- Support the Executive Director with fundraising efforts, including compiling factual information and fact-checking grant reports for government bodies and trusts.
- Collaborate with the Sponsorship Manager to ensure sponsors’ and funders’ needs are met effectively. This includes managing sponsor arrangements for opening and closing night festivities, the festival duration, and other logistical aspects.
- Work with the Festival Business Manager to guarantee the festival’s business objectives are achieved in terms of event and screening delivery. This involves facilitating communication between the Business Manager and venue partners’ financial departments, with some input on budget management.
- Partner with the festival’s Marketing and PR team to ensure successful marketing execution, particularly regarding coordination between venues and the marketing/PR team for key events like opening and closing nights, galas, and screenings.
- Collaborate effectively with the Programmer, Production Manager, Sponsorship Manager, and National Fundraiser to guarantee the smooth running of events, screenings, and guest speaker appearances.
- Uphold the festival’s reputation by delivering high-quality experiences and maintaining clear communication with partners to foster long-term goodwill.
- Submit clear expense claims with attached receipts within one month of the festival’s conclusion.
- Promptly report any partner-related issues or problems to the Executive Director.
Terms of engagement
- As a festival consultant, you’ll be privy to confidential information about the London Indian Film Festival Ltd. This information must not be used or disclosed to any third party without prior written consent. All LIFF property must be returned promptly upon the engagement’s conclusion.
- Any intellectual property rights created during your role as the Festival Coordinator belong to the London Indian Film Festival Ltd.
- You are responsible for your health and safety while undertaking your duties and must comply with all relevant legislation.
- The remuneration for this freelance consultancy role is £8,000 (inclusive of VAT). The anticipated workload is 3 days per week until 31 May, followed by full-time work between 3 June and 5 July. After that period, the role will transition to 2 days per week until 2 August, or until festival production, evaluation, and sponsor reports are finalised.
- Payment will be made upon receipt of your invoices, which should be submitted in arrears and settled within 30 days. Any reasonable, pre-approved expenses can be claimed with attached receipts.
- As a consultant, you are responsible for paying all income tax and national insurance contributions arising from your fee.
- You agree to indemnify the London Indian Film Festival Ltd against any HMRC claims related to tax or national insurance arising from the fee payment.
- The London Indian Film Festival Ltd reserves the right to terminate this agreement with two months’ notice, and you are similarly expected to provide two months’ notice for termination.
- Your engagement with the LIFF is as an independent contractor, not as an employee, partner.
