Sheffield DocFest is looking for a Human Resources & Access Coordinator to join them on a fixed-term, maternity cover contract, for 9 months with the potential to extend.
You will have experience in Human Resources; have a sound understanding of employment law; be able to manage your own workload; and be a people-orientated person, able to build rapport with staff.

Human Resources & Access Coordinator
Tenure: Part time/ Fixed term Maternity contract 4 days pw (0.8 f/t) for 9 months with potential to extend.
Start date: Immediate
Line Manager: Managing Director
Direct report: none
Salary: £24,000 pro rata
Holidays: 25 days per annum, pro rata
Location: Primarily Sheffield Office based; with hybrid working available outside the period of 1 April – 30 June
HR Deliverables
- Coordinate the recruitment and inductions of new staff and contractors;
- Draft, issue and maintain all contracts and job descriptions, in consultation with the Managing Director;
- Coordinate both formal and informal Performance Reviews for year round staff post-festival to cover debrief and year-round performance Primary point of contact for all team welfare and HR issues, support by and escalating to the Managing Director and Trustees as needed;
- Using your understanding of HR law and practice, act as first point of contact for established company policy, disciplinary and grievance procedures, as required, clarifying process and escalating issues to the Managing Director and/or Board of Trustees;
- Coordinate exit interviews, creating action items and recorded suggestions for improvements;
- Administer and maintain staff policies and procedures, staff files and HR database
- Administer and maintain Sage HR for staff absences;
- Ensure the charity’s diversity and inclusion policies are communicated and adhered to across the organisation;
Access and Inclusion
- Research new access and inclusion initiatives for year-round activity and the festival and coordinate the implementation of existing initiatives;
- Working with Senior Management and programming teams, discuss access and inclusion goals and priorities in line with budget and resources available;
- Champion accessibility within the organisation, ensuring access and inclusion remains on the agenda across programming, production and communications departments, setting and steering conversations and feeding in ideas;
- With the Director of partnerships and Community, research and contribute toward funding applications to support the volunteers programme;
- Contribute towards the development of the Volunteers Programme, including maintaining relationships with key stakeholders and alumni;
- Maintain and develop relations and partnership with HE and FE institutions, creating professional development, career and volunteer pathways for students;
- Research and implement best practice to enable pathways for diverse talent and recruitment;
- Ensure Sheffield Doc Fest is an inclusive, safe and respectful place for employees, audiences and participants;
Festival delivery
- Work with the Volunteers Coordinator and Volunteer Assistant, overseeing the recruitment of volunteers and the delivery of the volunteers programme;
- Oversee the volunteers programme budget lines, ensuring financial procedures are followed and resources are managed effectively;
- Report on the volunteers programme, including gathering KPIs and reporting back to funders of the programme;
- Support the Head of HR and Access to process a high volume of short term and freelancer contracts, ensuring terms are clearly communicated and accurate records are kept
- Act collegially within the HR, Access and Hospitality teams to support these areas of activity and alleviate pressure points, in particular relating to people management
Additional
- Create and maintain good working relationships with all Sheffield DocFest colleagues
- Answer phones and direct enquiries to the relevant team
- Respond to internal and external queries via email and on Google Chat
- Oversee tasks allocated to Festival Assistants within your team
- Actively promote and support diversity and inclusion in all Sheffield DocFest’s activities
- Adhere to Sheffield DocFest health & safety policy
- Adhere to and actively participate in how Sheffield DocFest delivers on our commitment to sustainability
- Ensure all data stored is GDPR compliant
- Be an ambassador for Sheffield DocFest and maintain professional approach at all times
