Filmhouse (Edinburgh) Ltd is seeking a Finance Manager to ensure sound financial management and planning, enabling the organisation to operate sustainably and efficiently.
The role supports the Executive and Programme Directors and the Café-bar Manager in delivering on their responsibilities with regard to the financial health of the organisation. The Finance Manager thus plays an essential role in delivering and developing Filmhouse’s cultural mission.

Role responsibilities
- To work with Filmhouse’s Executive Director, Board of Trustees, Trading Company Board, and Finance Committee Chair to maintain and further develop a robust financial model for the reopened Filmhouse.
- Preparation, interpretation, and presentation of financial information, reports, and papers for: the Executive Director; the Board; the subsidiary trading company; and finance committee meetings, with responsibility for all governance and related legal matters as required.
- Oversee all financial reporting activities, monthly management accounts, annual statutory accounts, including submissions to OCSR, acting as the main point of contact with the external auditors.
- Arrange audit planning and closure meetings in conjunction with the Chair of the Finance Committee.
- Work with senior management colleagues to create an embedded culture of sound financial management and commercial judgement.
- Identify, implement, and enforce sound financial processes and robust control procedures.
- Ensure the smooth operation of financial systems and software.
- Continuously review and update finance-related policies and procedures to ensure they are current and effective in meeting the companies’ needs.
- Identify and address training needs within the team.
- Build from existing forecasting templates and execute a budget and financial plan aligned with the companies’ strategies and business plan.
- Work with the Executive Director and Programme Director on the formulation and delivery of the Company’s business plans and financial objectives.
- Provide financial appraisal and operational support to relevant managers including any useful financial modelling, scenario planning and a critical review of core assumptions.
- Establish systems for managing the finances of the F&B subsidiary including production of flash reports. Working closely with the F&B manager on monitoring financial performance.
- Optimise cash flow management by proactively monitoring and managing financial resources.
- Ensure monthly budgeting and variance analysis to Xero reporting.
- Lodge accounts and returns timeously with OSCR ensuring that the OSCR site is accurate and up-to-date including details of all the Trustees.
- Provide financial analysis and production of relevant KPIs to support the commercial decision-making processes. Communicate clearly trends and conclusions and escalate to Executive Director any areas of major concern.
- Support Executive Director in reporting on external funding.
- Support the Executive Director on all aspects of charitable fundraising.
- Lead on and deliver any projects on behalf of the Executive Director to successfully deliver business objectives, whilst also deputising for the Executive Director, as required.
- Liaise with the chair of the Finance Committee to ensure meetings are well organised, structured relevant to all matters at an appropriate level.
- Contribute to the maintenance of a robust risk management framework to identify, assess, and mitigate financial risks across the business.
- Establish and maintain effective working relationships a range of key stakeholders such as funders, external auditors, banks, and others as required.
- Oversee all activities undertaken by the Finance Support team – encompassing the Filmhouse’s Finance Support Officer and an external service used to process organisational payroll — ensuring all internal and external timetables are met, and to manage and support the cinema’s Finance Support Officer in their role.
Person specifications
Essential
- Excellent track record in robust financial control and reporting including: hands-on involvement in preparation and analysis of monthly management accounts; annual statutory accounts production; and the preparation and monitoring of annual budgets / forecasts and long term financial plans.
- Direct experience of presenting financial information to both financial and non-financial
audiences. - Strong experience with Xero or similar software.
- Expert skills in Excel.
- Excellent understanding of financial governance and risk.
- Previous experience of developing robust financial controls, systems and procedures and embedding best practice as appropriate.
- Experience of working in an environment where strong attention to detail and accuracy were required.
- Evidence of an ability to be flexible in thinking and attitude.
- Demonstration of being a team player.
- Experience of managing staff.
Desirable
- Arts sector experience.
- Experience of working in a charity or Third Sector environment.
- Experience of income from fundraising e.g. from sponsorship, trusts, philanthropy.
- Passionate about film, culture and the arts.
- Previous experience working within a public funding environment and involvement in negotiating and drafting contracts.
- Strong IT skills with experience of utilising IT systems to deliver operational efficiencies.
