Roles and responsibilities
The Executive Assistant, Sales reports jointly to the CEO & VP of International Sales and Distribution. This role is responsible for support of international sales and distribution activities in respect of films that Mister Smith Entertainment represents and administrative support to two executives. While mostly admin-focused, the role provides huge scope to learn and grow in a busy, fast-paced film sales and financing environment.
Responsibilities include but are not limited to:
- Schedule internal and external meetings for CEO and VP
- Taking notes during meetings with producers, financiers, distributors
- Participate in weekend script read and give feedback/notes in weekly script meeting
- Help executives prepare for film markets (Berlin, Cannes, Toronto, AFM) including scheduling of market meetings
- Maintain sales documents including avails, reports, and sales bibles
- Support marketing department in preparing and sending market line up and on social media assets
- Maintain sales master list and distribution/marketing contact lists
- Send script/package submissions to external parties
- International travel to selected markets; helping to set up and run market offices
- Admin including expense reports, taking notes on external calls, maintaining tracking lists, booking travel/accom, answering phone
- Ad-hoc projects including research and analysis and ad hoc assistance with other departments as required
Report to: CEO + VP, International Sales and Distribution
Hours: 37.5 per week
The ideal candidate
Desired experience/skills:
- 1 years experience working in the entertainment industry at assistant/coordinator level
- Proficiency in Microsoft Office, Google Workspace, calendar management
- Familiarity with Mailchimp, design software, social media assets a plus
- Professional fluency in English
- A passion for independent film
- Knowledge and interest in the business side of the industry and a desire to learn as much as possible – not a good fit for those looking to work in development
- A proactive self-starter with an exceptional eye for detail and follow-through skills
- High level of confidentiality
- Excellent organisational skills and the ability to juggle a varied workload
- Excellent interpersonal and verbal/written communication skills internally and with external parties
- Flexibility in terms of workload and work hours
