The BFI is looking for a coordinator to be at the heart of a busy team that looks across the whole organisation —helping to shape how they tell their story and connect with people.

The BFI champions film, television, and the moving image in all its forms—from funding and policy to festivals, education, and our own streaming service, BFI Player. We preserve and share the UK’s screen heritage while also supporting new voices, new ideas, and the future of screen storytelling. 

This role is a great opportunity to be part of a team that brings the BFI’s work to life for audiences, filmmakers, and the wider screen industries. You’ll support the Executive Director and Senior Leadership Team (SLT) within the Engagement Marketing and Communications directorate.

Role responsibilities
  • Providing high-level executive support – Manage busy diaries, coordinate schedules, and ensure the Executive Director and SLT are fully prepared for meetings, deadlines, and priorities. 
  • Leading on meetings and governance support – Plan and run key internal and external meetings, from agendas to logistics, ensuring decisions are recorded and followed up. Prepare reports, briefings, and management information for Boards and Committees. 
  • Managing workflows and systems – Oversee email inboxes, streamline information sharing, and manage key tools like SharePoint to keep the directorate organised and efficient. 
  • Supporting major projects and directorate operations – Track reporting deadlines, assist with research, financial admin, and cross-team initiatives, ensuring the smooth running of a fast-moving, high-impact team. 
Person specifications
  • Proven experience supporting senior executives – Confident managing complex diaries, inboxes, and priorities, ensuring leaders stay organised and focused. 
  • Strong meeting coordination skills – Experienced in planning and running meetings, preparing agendas, capturing decisions, and producing clear, well-structured reports and presentations. 
  • Knowledge of office management and finance processes – Familiar with processing expenses, invoices, and purchase orders, as well as maintaining well-organised records and information systems. 
  • Excellent digital skills – Skilled in Microsoft 365 (Outlook, SharePoint, Planner, Teams, Word, PowerPoint, and Excel) to manage communications, workflows, and shared resources effectively.
