Sheffield DocFest is looking for a Venue Coordinator to be the central point of contact at each festival location for audiences and guests, as well as technical crew, venue and festival staff and volunteers.

Depending on the role and location, you will coordinate various aspects of events and screenings, including: selling tickets using our box office system; checking tickets and passes and managing audience queues; handling audience enquiries and complaints; monitoring venue capacities; liaising with event participants and coordinating rehearsals; making sure events run smoothly and to schedule; communicating any issues to audiences or the wider festival team as and when required.

Role details
  • Part-time: positions will be available on various days and shifts throughout the festival and will require evening and weekend work. Various shifts available between Wednesday 18 – Monday 23 June 2025. In addition to your festival shifts, you will be required to attend approximately 6 hours of training (paid) in advance of the festival (exact times and dates to be confirmed).

Role responsibilities
  • Be the main point of contact at your location for festival guests (filmmakers, moderators and other event participants) as well as venue and festival staff and volunteers
  • Coordinate public and industry audiences attending events, checking tickets and passes and making sure queues are orderly and safe
  • Coordinate any rehearsals making sure event participants are present and technical checks have been done and are ready for the event to start on time
  • Coordinate volunteers at your location, checking them in and out of their shifts and assigning them tasks
  • Establish and maintain good relations and clear communications with venue staff and technical crew
  • Use the festival box office system to sell tickets, scan tickets and passes, monitor and record capacities
  • Answer any audience enquiries and handle customer complaints
  • Provide information and advice to audiences about the festival programme and locations
  • Introduce screenings if there is no moderator present
  • Monitor sound, light, and screening conditions throughout the event
  • Communicate or escalate issues to the wider festival team
  • Complete an event report after each event
  • Be aware of the welfare and safety of volunteers, staff, guests and audiences at the event and report any incidents in line with the festival’s code of conduct
  • Be an ambassador for the festival, maintaining a professional attitude while being polite and helpful at all times
  • Any other duties that may reasonably be required at your assigned location.
Person specifications
  • Experience of working in a supervisory capacity at film or arts festivals, or in
    cinemas or theatres
  • Experience in customer-facing roles and dealing with audiences
  • Experience of working with VIP guests or similar
  • Experience of working with volunteers and assigning tasks
  • Excellent verbal communication skills and professional manner
  • Attention to detail
  • Positive attitude
  • Problem solver/ solution driven
  • Able to work independently, and calm under pressure
